Deposits

The €50 booking deposit is non-refundable. This secures your slot and covers our admin costs, and it applies regardless of the reason for cancellation.

Cancelling more than 72 hours before your race

You can cancel or reschedule any time up to 72 hours before the event. The deposit stays with us, but any remaining balance charged is refunded in full. Alternatively, we can apply your deposit as credit toward a future Hybrid Race Media booking within 6 months.

Cancelling within 72 hours of your race

At this point we've committed to the event: travel, schedule, and capacity are locked in. The full package price is non-refundable. We cannot offer credits for late cancellations. The best alternative is the transfer option below.

Transferring your booking

Can't make it but a friend or training partner is racing the same event? Message us at least 48 hours before the race and we'll transfer your booking to them at no extra cost. They just need to send us their details.

Rescheduling to a different event

If you cancel 72+ hours out and want to reschedule to another one of our covered races within 6 months, we'll move your full package over at no extra cost.

Injuries and last-minute no-shows

We understand injuries happen, they're part of the sport. Unfortunately, because our costs are locked in by the 72-hour mark, we can't offer refunds for last-minute injuries or no-shows. The best alternative is the transfer option above: send a friend racing the same event, and we'll cover them instead.

If you're injured during your race, we still deliver everything we shot up to that point. Our work begins before the start line, so you'll still receive content from your day.

Event cancellation by HYROX

If HYROX cancels the event entirely, you receive a full refund, deposit included. This is the one scenario where the deposit is refundable.

Content usage and rights

You receive full personal usage rights to all photos and video delivered: post anywhere, keep forever, share with anyone. We just ask that you tag us (@hybridracemedia) when you post. Hybrid Race Media retains the right to use your content on our portfolio, website, and social media channels.
