No hidden clauses, no legal tricks. Here's exactly how our bookings work.

Payment

Full payment is required at booking to secure your race-day slot. Once you book, we lock that capacity for you and turn down other athletes who want it. Payment is processed securely via Stripe (card, iDEAL, or Bancontact).

Cancelling more than 14 days before your race

You can cancel any time up to 14 days before the event for a 100% refund. Alternatively, we can apply your payment as credit toward a future Hybrid Race Media booking within 6 months.

Cancelling 7–13 days before your race

Cancellations in this window get a 50% refund. The remaining 50% covers our committed costs (travel, schedule, capacity already reserved). Alternatively, you can transfer your booking to a friend (see below) or reschedule to another HRM-covered race within 6 months for the full amount.

Cancelling within 7 days of your race

At this point we've fully committed to the event: travel, schedule, and capacity are locked in. The full package price is non-refundable. We cannot offer credits for late cancellations. The best alternatives are the transfer or reschedule options below.

Transferring your booking

Can't make it but a friend or training partner is racing the same event? Message us at least 48 hours before the race and we'll transfer your booking to them at no extra cost — subject to availability in the same race-day window. They just need to send us their details.

We're also always open to collab posts: tag us when you post your content and we'll happily add you as a co-author so the work shows up on both feeds. Brand collabs and content partnerships are welcome too — drop us a message anytime.

Rescheduling to a different event

If you cancel more than 7 days out and want to reschedule to another one of our covered races within 6 months, we'll move your full package over at no extra cost. Within 7 days of your race, rescheduling is not possible — the transfer option is your best alternative.

Injuries and last-minute no-shows

We understand injuries happen, they're part of the sport. Unfortunately, because our costs are locked in within the 7-day window, we can't offer refunds for last-minute injuries or no-shows. The best alternative is the transfer option above: send a friend racing the same event, and we'll cover them instead.

If you're injured during your race, we still deliver everything we shot up to that point. Our work begins before the start line, so you'll still receive content from your day.

Event cancellation by HYROX

If HYROX cancels the event entirely, you receive a full refund — no exceptions.

Content usage and rights

You receive full personal usage rights to all photos and video delivered: post anywhere, keep forever, share with anyone. We just ask that you tag us (@hybridracemedia) when you post. Hybrid Race Media retains the right to use your content on our portfolio, website, and social media channels.
