Hybrid Race Media is a trade name of 321Vision, registered with the Dutch Chamber of Commerce (KvK) under number 82850720, VAT number NL003739203B38. We are the data controller for the information described on this page.

When you book race-day coverage we ask for your name, email address, phone number, Instagram handle, race event and race day, your division and expected finish time, and optionally a music preference and any notes you want to share with us.
We need this to actually do the job: find you on race day, film the right person at the right time, and deliver your content afterwards. The legal basis is performance of a contract.
The same contact details, plus which event and package you're interested in. We use this to let you know when bookings open for that event, and to decide which events are worth covering.
The legal basis here is your consent. You can withdraw it at any time by emailing us or using the unsubscribe link in any email we send.
Payments are handled by Stripe. We never see or store your card details, they go straight to Stripe. We do receive confirmation that a payment succeeded, the amount, and the email address you paid with.
We use a small number of services to run this business. Each one only receives what it needs:
Stripe processes payments. Brevo sends our booking confirmations and event emails. Notion is where we keep track of bookings and what still needs delivering. Vercel hosts this website. Meta receives data only if you accept marketing cookies, see below.
We do not sell your data, and we never share it with anyone who isn't directly involved in delivering your booking.
This site uses privacy-friendly analytics that don't identify you personally and don't require consent.
If you accept marketing cookies, we also load the Meta Pixel. This lets us show our events to people who have visited this site before, for example when bookings open for a race you were looking at. When the pixel is active it may also send contact details you type into our booking form, such as your email address or phone number, to Meta in hashed (scrambled) form, so Meta can recognise you as an existing visitor. We never send these details in readable form. If you choose "essential only", the pixel never loads and no data goes to Meta.
You can change your mind at any time by clearing your browser's site data for hybridracemedia.com, which will bring the cookie banner back.
The content we shoot of you is personal data too. You receive full personal usage rights to everything we deliver. We also keep the right to use it in our portfolio, on our website and on social media, as set out in our booking terms. If you'd rather we didn't use your content that way, tell us and we'll respect it.
Booking records are kept for seven years because Dutch tax law requires it for invoicing. Waitlist entries are kept until you unsubscribe or ask us to remove them. Race footage and photos we keep in our archive so we can re-deliver if you lose your files, unless you ask us to delete them.
Under the GDPR you can ask us for a copy of the data we hold on you, have it corrected, have it deleted, or object to how we use it. Email us and we'll sort it out, normally within a few days and always within a month.
If you think we've handled your data badly and we haven't fixed it, you can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens.
